We are seeking a proactive and highly adaptable Executive Assistant to provide strategic and operational support to our Managing Director. This role requires someone with exceptional organizational skills, a strong ability to manage priorities in a fast-paced environment, and a deep understanding of Web3 ecosystems.
About the Role
The Executive Assistant will act as a trusted partner to the Managing Director, ensuring efficiency and effectiveness in daily operations, stakeholder engagement, and strategic initiatives. This position goes beyond traditional administrative support, requiring a high level of business acumen, discretion, and the ability to anticipate needs while maintaining a strong organizational pulse.
Key Responsibilities:
Global Operations & Travel Management
- Oversee complex international travel and logistics, ensuring seamless execution.
- Manage scheduling and coordination for key external engagements and industry events.
- Ensure security and operational considerations are factored into travel and event planning.
- Prepare comprehensive travel briefs, including itineraries, key contacts, and cultural insights.
Strategic Support & Operational Efficiency
- Partner closely with the Managing Director to streamline operations, ensuring alignment across key initiatives.
- Prepare the Managing Director for high-profile meetings, speaking engagements, and strategic discussions.
- Develop briefing materials, talking points, and key documents to support decision-making.
- Attend leadership meetings to track action items, ensure timely follow-ups, and drive accountability across teams.
- Maintain structure and efficiency in internal communication, ensuring priorities are effectively managed.
Cross-Functional Coordination & Stakeholder Management
- Act as a liaison between the Managing Director and internal teams, ensuring clear communication and alignment.
- Manage relationships with key stakeholders, both internal and external, including leadership, partners, and board members.
- Support coordination of executive and leadership offsites, ensuring seamless execution.
- Organize board meetings, including agenda planning and material preparation.
Project Oversight & Execution
- Lead and support special projects that advance organizational priorities.
- Ensure critical initiatives stay on track, managing deadlines and cross-functional collaborations.
- Provide structure to ad hoc requests, bringing strategic insights and execution support.
Communication & Reporting
- Collect, synthesize, and format leadership updates, ensuring clarity and actionable insights.
- Oversee preparation of executive reports, board updates, and key presentations.
- Contribute to internal communications that enhance organizational alignment and transparency.
What We’re Looking For
- Experience in high-level executive support and business operations,
- Strong understanding of Web3, blockchain, or crypto ecosystems, whether from direct experience or deep industry engagement.
- Exceptional organizational and project management skills, with the ability to manage competing priorities.
- Strong communication skills, both written and verbal, with experience preparing executive-level materials.
- Ability to operate with discretion, and a solutions-oriented mindset.
- Flexibility to adapt in a dynamic, global environment with evolving priorities.
