The Executive Assistant to the Chief Technology Officer will be responsible for various administrative functions that span the entire office! This position will be based in our Tampa, Florida office. The right candidate will keep the office running smoothly and will work closely with our Chief Technology Officer for day to day needs. This candidate should be self-motivated, highly organized, and a good communicator. It is important that the prospective candidate understands how to communicate with employees and vendors, and can successfully multitask.
Responsibilities:
Welcome visitors and direct them appropriatelyProvide administrative and clerical support for the office, including but not limited to, printing, scanning, copying, and purchasing supplies Track office supply inventory, and ensure the ordering of supplies when neededEnsuring all office deliveries are received by our employees, including lunches and Fedex/UPS packagesContribute ideas to enhance the office environmentHandle various requests, inquiries, and issues, and be responsible for the follow up of suchScheduling and organizing meetings, including gathering and preparing materials, attending meetings when requested to take notes and conduct follow-up on deliverables and attending to logistics of meetingsReviewing and prioritizing emails and respond when necessaryConserving executive’s time by reading, researching, and routing external and internal requests and acting as a gatekeeper Maintaining executive’s appointment schedule by planning and scheduling meetings, conferences, teleconferences, and travelAssisting with budgeting issues and documenting expenses through ExpensifyOther duties as assigned
Qualifications:
1-3 years of experience as a front office assistant or assistant office managerOrganizational skills and the capacity to prioritize and make quick decisions involving multi-tasking of multiple projectsAdministrative experience requiredStrong computer skills, including Microsoft Office (Word, Excel, PowerPoint, Outlook) proficiencyStrong customer service skills, including exceptional verbal and written communication skillsAbility to communicate and handle confidential informationMust be able to lift 25 lbs
