Your mission
We are looking for a proactive, hands-on and detail-oriented German and English bilingual Facility Specialist with good interpersonal skills. The position holder will be responsible for coordinating and administering Health & Safety, technical tasks, projects, office management services and facility services to deliver an efficiently and smoothly running office environment at our HQ and meet the demanding and growing needs of Bitpanda. You are experienced in ensuring a sustainable and functioning office environment that meets all legal and statutory requirements. You will be partnering with our employees and external suppliers to provide a great workplace experience at our HQ. In this position, you will report and align with the Senior Manager, Workplaces HQ for decision-making.
What you’ll do
- Ensure the legal compliance and functioning of office equipment, build infrastructure, building technology and the optimisation thereof. Oversee the planned maintenance regimes and carry out all office checkups.
- Liaise and collaborate with contractors, establish SLAs and the quality assurance thereof, and provide RFPs, quotes, orders and invoicing. Oversee vendors and suppliers. Independently collect and prove offers from suppliers and place orders with suppliers as well as oversee the execution/delivery.
- Handle small projects in the area of facility and office management (i.e. moves, refurbishments, implementation of processes, etc.). Manage the office space from basic desk planning to executing all office moves. Project manage office repairs and refurbishment works. As a hands-on person you are able to perform light repairs, fixtures, fittings, inspections and installations ( i.e. changing a bulb, cabling up a projector, etc.).
- Responsible for all health & safety procedures and documentation including fire safety, emergency incidents and first aid. Carry out all internal checkups to identify hazards, defects and the need for adjustment or repair to ensure compliance with statutory regulations.
- Supporting the front office management services (i.e. organising company events, travel management, ordering office supplies, site welfare, etc.) to all employees. Receive and action electronic maintenance tickets raised by employees. When needed (i.e. vacation replacement or at peak times) providing front office services (i.e. distribution of post, reception, etc. ) and welcoming our business partners and visitors creating a hospitable environment.
Who you are
- Background within Office Management and/or Facility Management with a minimum of 2 years of work experience in a similar role with a good technical understanding concerning buildings and technical installations. Project Management experience is a plus
- Experience with managing site health and safety risk in terms of legislation and compliance. Fire safety warden and first aid certification are an advantage
- Great interpersonal and communication skills both face to face and over the phone. As well as a resilient personality with experience working in a demanding customer-facing environment, with great organisational skills and a positive, energetic and solution-oriented approach to work
- IT literate with the ability to prepare reports, presentations and project time schedules. Preferably working knowledge of Google Suite/MS Office and Jira ticketing system
- Professional fluency in German, good command of English
Important requirement: availability to work on-site in Vienna as part of your regular core office working hours.
