ABOUT THE ROLE
We are seeking a highly organized and detail-oriented Office Operations Coordinator to oversee the smooth operation of our office environment and provide administrative support to executives. The ideal candidate will excel at managing multiple priorities, ensuring an exceptional employee experience, and coordinate both personal and professional tasks for executives.
WHAT YOU'LL DO
Office Management
- Oversee day-to-day office operations, including supplies and facility management.
- Manage corporate lease and condo-related needs, coordinating with property managers/landlords.
- Handle monthly account maintenance for utilities, renters’ insurance, and corporate cleaning services.
- Coordinate furniture and home supplies orders, including move-related tasks and clean-up.
- Manage catering, lunch orders, and office meal coordination.
- Maintain kitchen operations, including cleaning and turnover of food and beverages.
- Set up and tear down for meetings, including A/V equipment, furniture arrangement, and post-meeting clean-up.
- Coordinate guest travel, hotel arrangements, and invites via Navan.
- Ensure guest email access and IT coordination.
- Arrange catering, including delivery, setup, and cleanup.
- Prepare swag bags for visitors and new employees.
- Provide office orientation and act as a point of contact for visiting employees.
Supporting the Founder’s Executive Assistants
- Research and coordinate personal and business travel.
- Assist with organizing and consolidating folders, receipts, and financial records.
- Research and coordinate house management services (e.g., contractors, maintenance).
- Schedule appointments, track follow-ups, and maintain historical records.
- Support condo needs, including liaising with property managers.
- Run errands for personal and professional tasks.
- Manage restaurant reservations and prepare for specific dietary needs.
- Prepare snacks and meals in the office.
This role requires a growth-mindset and a service orientation. You will have the diligence and dexterity to handle administrative responsibilities, personal assistant tasks, and take a pro-active approach to problem solving. You will have excellent communication and interpersonal skills, and the ability to maneuver and take initiative in a dynamic environment that operates at the cutting-edge of its field. ABOUT YOU
- Previous experience in office administration or operations coordination.
- Strong organizational and multitasking skills with the ability to prioritize effectively.
- Excellent communication and interpersonal skills.
- Proven problem-solving abilities and a proactive approach to challenges.
- Familiarity with office equipment and technologies.
- Experience with event coordination and executive support is a plus.
