We are seeking a highly organized, proactive, and dynamic Executive Assistant to support senior leadership in a fast-paced, growing start-up environment. The ideal candidate will possess excellent communication and administrative skills and have the ability to juggle multiple tasks with a high level of attention to detail. Key Responsibilities:

Executive Support:

Manage the executive's calendar, scheduling meetings, appointments, and travel arrangements.
Screen and prioritize incoming calls, emails, and correspondence.
Prepare and organize documents, reports, and presentations for meetings and presentations.
Assist with day-to-day administrative duties and any ad-hoc tasks required by the executive team.

Project Coordination:

Assist with creating, updating, and maintaining project timelines, budgets, and resource allocation plans.
Coordinate and monitor the status of key projects and ensure that all deliverables are met within established timelines.
Organize meetings with key partners, ensuring all necessary agendas and materials are prepared in advance.

Administrative Support:

Maintain an organized filing system for both physical and digital documents
Assist with the preparation and submission of bids, contracts, and other necessary paperwork in accordance with the company's policies and standards.
Oversee office operations, including ordering supplies, managing office logistics, and ensuring a smooth workflow for the executive team.
Track expenses for the executive team.

Client and Stakeholder Communication:

Communicate regularly with clients, subcontractors, suppliers, and partners to ensure smooth operations.
Prepare client-facing communications and ensure that the information shared is timely, clear, and professional.

Ad-Hoc Tasks:

Take on additional responsibilities as needed, including assisting with recruitment efforts, company events, or other business development projects.
Provide general office management, including coordinating office events, supplies, and maintaining a professional office environment.

Qualifications:

Bachelor’s degree in business, or a related field.
7+ years of experience as an executive assistant or administrative support role, with experience in the construction industry or a related field.
Basic understanding of construction terminology, project management principles, and industry best practices.
Excellent communication, interpersonal, and organizational skills.
Ability to work independently and handle multiple priorities in a fast-paced environment.
Proficient in Microsoft Office Suite (Excel, Word, PowerPoint), and project management tools such as Trello, Asana, or similar platforms.
Ability to maintain discretion and handle confidential information.
Strong problem-solving skills and the ability to adapt quickly to changing priorities.

Preferred Skills:

Experience with start-up environments or growing businesses.

Additional Information:

This position will be based in College Grove, TN.
Occasional travel may be required.
Flexibility in work hours and the ability to work under pressure.
