Senior Facilities Coordinator

We are looking for an enthusiastic, energetic and collaborative Senior Facilities Coordinator to join our team in Toronto. The successful candidate will manage all aspects relating to the day-to-day operations of our Toronto office facilities and play an integral role in building local office culture by ensuring everything runs smoothly so all associates have an enjoyable and productive in-office working experience. The candidate will also play a key role in helping organize and execute internal and external events and contribute to the success to Cboe Canada’s business overall.

As a Senior Facilities Coordinator, your will be responsible for:
Responsibilities
- Act as primary contact for operational facility issues and requests
- General office management responsibilities include ordering supplies, snacks, beverages, scheduling repairs and maintenances, coordinating office purchases, working with site leaders, loading/emptying dishwasher, ensuring the office is kept tidy, etc.
- Events Coordination – Execute coordination of internal and external events in collaboration with sales and marketing.
- Assist with logistics when clients and associates visit the office
- Coordinate with vendors – Crafty, Iron Mountain, Pro Shred
- Conduct routine facility inspections to determine areas for service
- Coordinate and assist in implementation of future of work
- Provide hands-on support for basic maintenance
- Engage approved vendors as needed to complete repairs
- Partner with necessary internal departments including EUC
- Ensure timely follow up and work order completion
- Provide backup to Facility Manager for all sites as necessary
- Perform other functions as assigned
- Assist with receiving and shipping packages as needed
- Act as Primary Fire Warden and maintain required compliance activities for the team
- Participate in the Joint Health Safety Committee and assist in maintaining a safe working environment for associates
Skills And Abilities
- Ability to travel to various work-site locations
- Ability to work on a flexible schedule, including nights and weekends
- Ability to prioritize and manage multi-functional tasks
- Ability to work effectively under pressure, and against strict time constraints
- Ability to make decisions or solve problems by using logic to identify key facts, explore alternatives, and propose quality solutions
- Ability to read and interpret construction documents/proposals and build strong relationships with contractors/vendors
- Knowledge of building systems
- Excellent verbal, written and interpersonal communication skills
- Team oriented with strong capability to work independently
- Motivated to lead and mentor others
- Demonstrated ability to use computers effectively for record-keeping, report writing and communication and use computer applications such as MS Office, Databases, or Facilities Management Systems at a level of competence to do analysis, produce presentations and reports suitable for Facilities and Laboratory management.
Qualifications
2-4+ years of operational/facilities experience
