Job Overview:
We are seeking a dynamic, detail-oriented, and experienced Head of Shareholder Services to lead our Shareholder
Services department within a growing stock transfer agency. This individual will oversee the daily operations of
shareholder services, including stock transfers, shareholder record-keeping, and communication. The Head of
Shareholder Services will play a critical role in ensuring accurate, timely, and compliant processing of shareholder
transactions, providing superior client service, and managing a dedicated team.
Key Responsibilities:
1. Leadership and Management:
o Oversee and manage the shareholder services department, ensuring the smooth operation of all
processes related to shareholder accounts, transfers, and inquiries.
o Lead a team of professionals, providing training, guidance, and performance management to
ensure high levels of service and accuracy.
o Collaborate with senior management to develop and implement strategic goals, department
initiatives, and operational improvements.
o Monitor and report on key performance indicators (KPIs) and metrics for the department to ensure
productivity and service standards are met.
2. Shareholder Services & Transfers:
o Oversee all aspects of stock transfers, including ownership changes, estate transfers, dividend
disbursements, and other corporate actions.
o Ensure accurate and timely processing of shareholder transactions and maintain up-to-date
shareholder records in compliance with regulatory requirements.
o Manage shareholder inquiries and resolve issues or concerns, providing exceptional customer
service and guidance on transfers, account management, and corporate actions.
o Liaise with clients (issuers, financial institutions, and brokers) to ensure all shareholder activities,
including transfer requests and record maintenance, are handled efficiently and accurately.
3. Compliance & Reporting:
o Ensure compliance with all relevant securities laws, regulations, and industry standards, including
SEC regulations, IRS guidelines, and industry best practices.
o Review and approve reports related to shareholder transactions, including quarterly reports, tax
filings (Form 1099), and other regulatory filings.
o Implement and maintain procedures to minimize the risk of fraud, errors, and inefficiencies within
the department.
4. Technology & Process Improvement:
o Work closely with IT and systems teams to enhance shareholder record-keeping systems, automate
transfer processes, and integrate new technologies to improve efficiency.
o Evaluate, recommend, and implement process improvements to increase the effectiveness of
shareholder services operations.
o Stay up-to-date with industry trends and emerging technologies that could improve the efficiency
of shareholder services.
5. Client Relationship Management:
o Act as a primary point of contact for key clients, addressing their needs, providing advice, and
ensuring that services are delivered in accordance with contractual obligations.
o Build strong relationships with clients, understanding their specific requirements, and ensuring
satisfaction with services provided.
o Represent the company at industry events, conferences, and client meetings as needed.
o Additional duties as assigned or needed.
Qualifications:
Education: Bachelor’s degree in Business, Finance, or a related field
Experience: Minimum of 7-10 years of experience in shareholder services, stock transfer, or related fields,
with at least 3-5 years in a leadership position.
Knowledge:
o In-depth understanding of stock transfer processes, shareholder records management, and
corporate actions.
o Familiarity with regulatory requirements, including SEC rules, IRS guidelines, and other relevant
compliance standards.
o Knowledge of industry-standard transfer agent software and shareholder record-keeping systems.
o Strong understanding of dividend distributions, stock splits, mergers, and acquisitions.

o Excellent communication skills, both written and verbal.
o Ability to build and maintain client relationships and provide exceptional customer service.
