About The Role
We are seeking a reliable, organized, and warm Workplace Coordinator to be at the heart of our New York office. The successful candidate will exemplify Aptos’ core values and own the office's day-to-day operations while partnering closely with local stakeholders, People, IT, and Finance teams to create a vibrant and productive workplace. This role is fully onsite and sits in our Soho, New York office.
What you’ll be doing:
- Oversee all daily administrative and operational duties in the New York office.
- Greet incoming visitors and receive all mail and packages, actively monitoring the intercom.
- Ensure the office environment is vibrant, inviting, and conducive to productivity and innovation for both the Aptos team and ecosystem builders.
- Manage the office budget while being resourceful and creative, submit monthly expense reports, and work closely with the Finance team.
- Ensure that all office equipment is properly maintained and serviced, manage inventory, and order supplies as needed.
- Manage office vendors and act as the main point of contact and owner of the relationship; review scope and quality of work, and evaluate any upcoming renewals.
- Monitor, track, and address incoming employee requests and facilities issues.
- Handle logistics and execution for any onsite events.
- Support the People, IT, and Marketing teams remotely from Palo Alto for local needs when necessary.
What we’re looking for:
- 3-5 years proven experience as an office manager and understanding of the nuances of workplace experience
- Strong organizational, prioritization, and time management skills; high rate of follow through
- Excellent verbal and written communication and interpersonal skills; understands when situations require discretion and sensitivity
- Ability to work autonomously and take initiative with a sense of urgency; proactively anticipate needs before they arise
- Solution-oriented with strong problem-solving and strategic thinking skills
- Proficiency in Google Suite, Mac OS, and generally tech savvy; able to use tech as a tool to scale impact
