Position Overview:
We are seeking an experienced and dynamic Executive Assistant (EA) to provide high-level administrative support to a member of our board. The successful candidate will play a crucial role in facilitating the efficient operation of the board member's office and ensuring smooth communication and coordination across various stakeholders. Fluency in English and basic proficiency in German are required for this role, along with a minimum of 5 years of experience as an EA or Personal Assistant.
Key Responsibilities:
- Administrative Support:
- Manage the board member's calendar, schedule appointments, and coordinate meetings, ensuring efficient use of time.
- Arrange travel itineraries, accommodation, and transportation for domestic and international trips.
- Prepare and organize documents, reports, presentations, and correspondence for meetings and events.
- Communication Management:
- Serve as the primary point of contact for internal and external inquiries, screening and prioritizing correspondence as necessary.
- Facilitate communication between the board member and key stakeholders, including executives, clients, investors, and board members.
- Draft, proofread, and edit emails, letters, memos, and other written communications on behalf of the board member.
- Board Support:
- Assist in the preparation of materials for board meetings, including agendas, presentations, and briefing documents.
- Attend board meetings, record minutes, and follow up on action items to ensure timely completion.
- Maintain confidential records, files, and documents related to board activities and decisions.
- Project Coordination:
- Support the board member in managing various projects and initiatives, tracking progress, and ensuring deadlines are met.
- Collaborate with other team members and departments to gather information, coordinate activities, and resolve issues as needed.
- Language Skills:
- Utilize fluent English language skills to communicate effectively with internal and external stakeholders.
- Demonstrate basic proficiency in German to assist with communication and correspondence as required.
Qualifications:
- Bachelor's degree in Business Administration, Management, or a related field preferred.
- Minimum of 5 years of experience as an Executive Assistant or Personal Assistant, preferably supporting C-suite executives or board members.
- Excellent organizational and time management skills, with the ability to prioritize tasks and multitask effectively in a fast-paced environment.
- Strong written and verbal communication skills, with the ability to interact professionally with individuals at all levels.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other office software applications.
- Discretion and confidentiality in handling sensitive information and maintaining privacy.
- Proactive and resourceful with a problem-solving attitude and a high level of attention to detail.
- Ability to work independently with minimal supervision while also functioning as part of a collaborative team.
