Pantera is looking for an Executive Assistant & Office Management Support. The position requires presence at the San Francisco office at least 4 days a week.
Responsibilities as EA for Head of Investor Relations and Investor Relations Team:
- Administrative Support: Manage schedules, organize meetings, and handle correspondence for the Head of IR and IR Team.
- Investor Prep: assist in preparing meeting notes, reports, and other materials for investor meetings and communications.
- CRM Management: maintaining investor information on Salesforce & IR calendar; work with IR team on capturing all meeting notes and adding to CRM.
- Answer IR calls on OpenPhone and transferring to team members
- In charge of scanning Proofpoint for IR folder daily & releasing legitimate emails
- Project manager for IR initiatives: introduction of innovative technology tools for IR team to optimize for efficiency, workflow management and ease of collaboration
- Plan and organize events for IR team to facilitate connections and collaborations.
- Lead the charge on recruiting for IR team
- Proactively anticipate executive’s needs, enhancing productivity and organizational success.
Office Management Support:
- Greet and welcome visitors to our office, offering a beverage.
- Setting up conference room for meetings- making sure zoom is up and running, guests are seated.
- Maintaining the common areas, zoom rooms and conference room- including tucking chairs in, wiping down tabletop, clearing rooms of clutter.
- Unloading, loading dishwasher and maintaining a clean sink. Wiping down counters as necessary. Cleaning out fridge of previous days leftovers.
- Ordering lunch and groceries for the office. Restocking snacks and fridge at the beginning of the day.
- Check Pantera mailbox daily. Scan mail and enter mail folder on S drive
- Identifying and troubleshooting issues with kitchen appliances (dishwasher, coffee machine, fridge and microwave), printers, blinds, windows, zoom rooms etc and office systems and working with the building, IT services and other vendors to solve in a timely manner.
- Registering all visitors in the building’s security portal
- Positive attitude to handle the wide variety of tasks requested
- Know all security procedures for evacuation of staff in case of an emergency
- Occasional evening assistance with in-office events
Qualifications:
- Organizational Skills: Ability to manage multiple tasks and prioritize effectively.
- Communication Skills: Strong verbal and written communication skills to interact with stakeholders at all levels. Must be professional, confident and gracious.
- Attention to Detail: Precision in preparing documents and managing schedules.
- Highly Proficient in Technology: Familiarity with office software (e.g., Microsoft Office Suite: Word, Excel, PowerPoint and investor relations platforms.
- Must have a can-do attitude with big and small tasks. Proactive and self-motivated. Be a problem solver.
- Highly proficient computer skills (Outlook, Word, Excel, SalesForce). Tech savvy. Apple proficiency a plus.
- Ability to handle confidential company and personal information with discretion.
- 5+ years’ experience of administrative support preferred.
- Bachelor’s degree required.
